How we handle your data.
A short, plain-English summary of what we collect, why, and what your rights are. The full signed policy PDF is available from procurement on request.
This page summarises how SOMA Project Controls (“SOMA”, “we”) processes personal data for visitors to this website and people who contact us. It is not a substitute for the full signed policy, which is available on request.
1. Who we are
SOMA Project Controls is a UK project controls consultancy and the data controller for personal data processed through this site. Registered company details are on the credentials page. SOMA is registered with the Information Commissioner’s Office under reference ZC124229 (registered 15 April 2026, valid to 14 April 2027). For any privacy question, email [email protected].
2. What we collect
- Contact-form submissions — your name, work email, company, the reason for enquiry, and whatever you write in the message.
- Newsletter subscriptions — your email address, and the date you subscribed.
- Analytics — aggregate page-view and referrer information, collected in a way that does not identify individuals (no cross-site tracking, no advertising cookies).
- Server logs — IP address and user-agent for security and abuse prevention, retained briefly and then discarded.
3. Why we use it
- To answer enquiries you send us.
- To send the newsletter, if you have opted in. You can unsubscribe in one click, at any time.
- To keep the site running, secure and performant.
- To meet legal and procurement obligations (for example, keeping records of commercial correspondence).
4. Who we share it with
We do not sell personal data, and we do not add you to any mailing list without consent. We use a small number of processors (email, hosting, analytics) all of which are bound by data-processing agreements. Names of processors available on request.
5. Your rights
Under UK GDPR you have the right to access, correct, export or delete the personal data we hold about you, and to object to processing. Email us and we will respond within one working day.
6. Complaints
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
7. Changes
We update this page when our processing changes. The full signed and dated policy is the authoritative version; request a copy for PQQ use.
